ICAN TALK AAC CAMP FEES & PAYMENT POLICIES

CAMP FEEUS$ 850.00 covers all program-related costs, including meals, materials, and camp T-shirts for 1 camper and 1 adult parent/companion (including the AAC Parent Training Seminar). A $400 deposit fee is required at time of application and will be returned if your camper is not admitted to camp, but non-refundable if admitted. Applications received without a deposit fee payment will not be reviewed.

SIBLINGS/ADDITIONAL CHILDREN FEE:  Fee for camp participation by a sibling is US $80 (covers program activities, camp T-shirt and scheduled meals; limited to 1 sibling only) and must be added to the camp fee. Sibling campers are expected to act as “helpers” to their AAC user and assist him or her in camp activities. If a sibling (or other child is NOT going to participate in the camp program but will be staying with the family at the hotel during the camp, a $40 meal charge is required to cover program meals (T-shirt not included).  The camp does not provide babysitting services. There are recreational activities, attractions and shopping for guests in the vicinity of the hotel, including a light rail service station to downtown Pittsburgh.

ADDITIONAL ADULT FEE:  The fee for additional adults attending the AAC Parent Training and camp program is $100/adult and includes a camp T-shirt and all program meals. Due to limited space at our venues, we can only accept one (1) additional adult in the program per camper unless other additional adult is an aide or paraprofessional.  If the additional adult guest is staying at the hotel but NOT attending the AAC Parent Training, the meals charge is $75 (T-shirt not included). All meals charges can be paid upon check-in. NOTE: We cannot guarantee meals or bus transportation for any non-participating guests unless we have their names confirmed to us in writing by June 2, 2017.

INDIVIDUAL CONSULTATIONS: We will also offer optional, individual 30-minute consultations with Dr. Hill and Mike O’Leary, ICAN Talk Clinic’s Assistant Clinical Director, during the camp to discuss specific concerns or questions you may have about your child’s AAC use for an additional fee ($30 per 30 minutes). These fill up quickly, so if you are interested in booking a session, please check the box on the camper application form and you will be contacted by our staff to set up a convenient time during camp for the consult.

PAYMENT METHODS: Payment of the camp deposit, registration fee balance and other charges can be made by check or money order (payable to AAC Institute), PayPal or major credit card (AMERICAN EXPRESS, VISA OR MASTERCARD). Credit card and PayPal payments of the complete camp fee will be subject to a 4% surcharge; this does not apply to the initial $400 deposit. All accepted camper families who pay by credit card or PayPal will be invoiced separately. If you require an invoice to obtain reimbursement for Extended School Year (ESY) programs or respite services, please send this request to Shannon Carney, scarney@aacinstitute.org at time of acceptance.

PAYMENT OF FULL BALANCE (balance of camper registration fee, less deposit plus any additional charges) WILL BE DUE UPON NOTIFICATION OF ACCEPTANCE. All camp fee balances must be paid in full by June 2, 2017 in order to guarantee enrollment.

CANCELLATION POLICY: Camper family cancellations received in writing or by phone on or before June 30th, 2017 will receive a refund of all camp fees less the $400 application deposit. Any cancellations received after July 1st or no-shows at camp are not eligible for refunds.

TRAVEL, ACCOMMODATIONS, MEALS & ADDITIONAL INFORMATION

TRAVEL & ACCOMMODATIONS: Travel expenses and hotel accommodations are NOT included in the camp fee and must be paid separately.  Lodging at the Crowne Plaza Pittsburgh South, site of the camp, is available at a discounted rate for ICAN Talk camper families. The hotel is located 6 miles from downtown Pittsburgh and offers free handicapped parking, several handicapped accessible rooms and a swimming pool.  If you require a handicapped accessible room or other amenities, please contact the Crowne Plaza as early as possible to ensure your reservation. For rate information and reservations, you may use the link or phone either Cathy Matko or Colleen Rodgers at Tel: 412-833-5300.

MEALS: We make every effort to provide a variety of fresh, quality food choices at our meals in the Crowne Plaza Hotel and other venues in the camp program; however, in order to control costs we cannot guarantee that every meal will meet all the varied dietary restrictions or preferences of our campers and their families. There are numerous markets (Giant Eagle Market District, Trader Joe’s, Whole Foods Market, Fresh Market), restaurants and other food outlets conveniently located near our hotel where families can purchase food, as needed.

ACCESSIBILITY: Camp activities are fully accessible and designed for all-abilities with adaptive recreation for wheelchair users.

BEHAVIORAL EXPECTATIONS: While the camp program is designed for children ages 5-21 years with a variety of physical and/or intellectual disabilities and sensory sensitivities, it is not suitable for campers that may have inordinately challenging behaviors (e.g. screaming, physical aggression such as punching, hitting, kicking, biting) or are a known flight risk. Not only does this behavior pose an unacceptable risk to the safety of other campers/staff, hotel guests and the camper himself, it will interfere with his or her ability to fully benefit from the camp experience. If such behavior occurs once the camper is in attendance and deemed a potential hazard by the camp director, the camper will be asked to withdraw from the program without a refund.
